Saved reports
Open and re-run a saved report
Your saved custom report definitions, in one table. A definition is the question, not the answer: opening one and re-running it goes back to SharePoint for today's data rather than showing you last month's workbook.
What it tells you
- Which report definitions you have saved, and when each was last run.
- What a definition actually asks, before you re-run it.
How it runs
- Open the list. No sign-in. The definitions are stored on this machine and nothing contacts SharePoint to list them.
- Open, re-run or delete. Sign-in happens when you run one, not when you look at the list.
How it works
Each saved definition is a small file on this computer holding the site, the lists, how they relate, the columns, the filters and any grouping. Opening the page reads those files and nothing else. A definition you open loads with the list columns it saved, so the editor does not have to fetch them again.
Running a definition signs in, then reads each list it uses afresh, so the result is always today's data. The run goes through the same engine as the Custom report builder: only the columns the report needs are read, the lists are joined and filtered on this computer, and the workbook goes into History before you are asked where to save it.
A definition must be saved, with no unsaved edits, before it can run. A saved definition can be deleted; the built-in system reports in the same table cannot.
What you need
- Nothing to browse the list. Read access to the lists in question when you actually run one.
What it will not do
- Not released yet, along with the report builder that produces the definitions.
- Definitions live on this machine. They do not follow you to another computer.
- For the finished workbook files rather than the definitions, use History.
