Since late September 2026, whiteboard files created from Microsoft Teams channel tabs are being stored in the associated SharePoint site rather than in the creator's OneDrive for Business account, as the change reaches each tenant. Microsoft flagged this as a major change in Message Center notification MC1253753.
What is changing
When a Teams user opens the Whiteboard app from a channel tab and creates a new board, that file used to land in the creator's OneDrive. Once the rollout that began in late September 2026 reaches your tenant, new whiteboards created from channel tabs go directly into the document library of the SharePoint site associated with that channel.
Only new whiteboards are affected. Boards already saved to OneDrive stay where they are. Microsoft is not migrating existing boards automatically. Channel members will continue to access pre-existing boards through the Teams channel tab, but access to those legacy boards continues to follow the creator's OneDrive sharing rules rather than channel membership.
Why Microsoft is making this change
The original design had a predictable failure mode. When a whiteboard lives in the creator's OneDrive, channel members can only reach it if the sharing settings, Information Barriers, or Conditional Access policies allow it. If the creator leaves the organisation and their account is deprovisioned, the whiteboard may become inaccessible to everyone else in the channel.
Storing the file in the channel's SharePoint site resolves this cleanly. Channel membership becomes the access control boundary, which is exactly the same model used for files uploaded through the Files tab in Teams. The change brings Whiteboard into alignment with every other Teams file type.
How does this affect SharePoint storage quotas?
Whiteboard files are not large individually, but teams that run frequent workshops, retrospectives, or planning sessions accumulate many boards. Under the new model, each whiteboard counts against the SharePoint site collection's storage quota instead of the creator's OneDrive allocation.
Sites that are already close to their ceiling may need cleanup or a quota increase as new boards start to land in them. For active sites where version history is the main driver of storage growth, Space Master's Version Trimmer is often the fastest way to reclaim significant quota without touching live content.
Compliance and governance impact
For SharePoint admins in regulated industries, this is the most consequential part of the change. Whiteboards stored in SharePoint inherit all the Microsoft Purview controls applied to that site:
- DLP policies scoped to the SharePoint site will now cover whiteboard files.
- Sensitivity labels assigned at the site or library level will be applicable.
- Retention and deletion policies for the SharePoint site will govern board content.
- Audit logging and eDiscovery will capture whiteboard activity through standard SharePoint audit trails.
Whiteboards used in legal, HR, or financial review sessions were effectively outside SharePoint's compliance perimeter when they lived in OneDrive. From the rollout that began in late September 2026, new ones fall within it. If your organisation has DLP or retention policies that were deliberately scoped to exclude whiteboard content, review those scopes and confirm the intent still holds under the new storage model.
What admins should do now
Microsoft confirmed this change rolls out automatically, with no administrator action required to enable it. Three tasks are worth completing as it reaches your tenant:
- Check storage headroom on high-use Teams channel sites. Sites near their quota may trip limits within days of new whiteboards starting to accumulate.
- Review DLP and retention policy scope. Confirm that whiteboard files landing in SharePoint channel document libraries will be covered as intended. Policies already scoped to "SharePoint and OneDrive" typically need no change.
- Update helpdesk documentation. Support staff and end users who know "whiteboards live in OneDrive" will need that model corrected. Access to pre-existing boards will not change, but questions about where new boards are saved will arrive as the rollout lands.
