SharePoint version trimming by rule, not by hand

Versioning is on by default and every version is charged against your quota. Version Trimmer deletes the history you have decided you do not need, on rules you set once and apply across libraries. Deleted versions are gone, so it also runs in report-only mode first.

Version trimming questions

Do SharePoint file versions count towards storage?
Yes. Every version of every file is charged against your tenant's storage quota, which is why a library with versioning left on default settings can be several times larger than the files in it.
What is SharePoint version trimming?
Deleting older versions of files while keeping the current one and however much history you decide to retain. ShareMaster does it by rule rather than file by file: keep the newest N versions, or keep at most a set number per day, or keep only versions at least so many hours apart.
Can I keep a certain number of recent versions?
Yes. Set the number of versions to retain and everything older than that is removed. You can also cap how many versions are kept per day, or require a minimum number of hours between the versions that survive.
Can I protect files modified after a date?
Yes. You can ignore files modified after a date, and separately only delete versions older than a date you choose. You can also restrict the run to particular filenames using a wildcard such as report.* or to a specific list of files.
Can I see what would be deleted first?
Yes. Run it in report-only mode and ShareMaster reports what the same rules would remove without deleting anything. Report-only runs are not restricted on a trial licence, so you can size the saving before you buy.
What happens if the current version is a minor version?
You can tick an option to publish it to a major version as part of the run, so files are not left sitting on a draft as their newest version.
